     SHIPS Driver Recruiting On Demand Orientation software solution streamlines the cumbersome, paper-intensive processes associated with orienting and training new hires and helps carriers make drivers productive quicker.

     Carriers often miss opportunities to hire well-qualified driver applicants because the carriers' driver orientation schedule does not meet the drivers need for timely employment or the carrier's orientation sessions consists of too many days "out of the truck". The traditional orientation format is very costly and requires an abundance of time, resources and energy to ensure compliance of all the necessary tasks. Drivers spend many hours completing repetitive information on forms and watching videos or PowerPoints outlining the carrier's safety and company compliance polices. The longer the orientation session, the higher the cost for per diem, hotel, and an inactive truck.

Reduce the risk of new hire fallout by engaging qualified drivers immediately.

     The On Demand Orientation process workflows allow qualified applicants to begin engaging with your company immediately upon acceptance by logging into a web based portal containing all the forms and tasks the new hire must complete. Once the individual is identified, SHIPS process manager generates the workflow queue automatically based on the driver's qualifications. For example, if an applicant has a HAZMAT rating, their workflow process would include specific items to insure HAZMAT compliance. Such items would not be included for those applicants that are not HAZMAT certified.

Auto populating forms improves accuracy and reduces completion time.

     Since much of the data necessary to complete the required forms is captured during the recruiting process, SHIPS is able to retrieve that repetitive information such as name, address and phone number and populate it directly into each form eliminating the need for the new hire to input this data. Specific information can be tagged secure and omitted from the forms, such as social security number until the applicant attends the on-site orientation session.

Automatic monitoring and tracking insures accuracy and compliance.

     Through secure internet access, drivers begin the process of completing the sequence of forms based upon the workflows SHIPS generates. Each document is time and date stamped so at any point in time, the hiring manager monitoring and validation occurs on all of the data entered. If information is missing, the driver is alerted and cannot proceed to the next section or form. If a document is not complete, it is put back into the workflow queue and the hiring manager is notified of the document status.

     SHIPS On Demand Orientation workflows generate tasks associated with other learning tools including PowerPoint presentations or online training services such as ITI ProTread. Comprehension surveys are presented and results are placed in the hiring manager's queue. Depending on the results, new hires either proceed to the next task, or don't. Results of individuals not passing will be noted in the hiring managers work queue and be reviewed at the on-site portion of the orientation.

On Site Orientation more personalized and efficient.

     Since many of the tasks are completed before the new hire attends the on site portion of orientation, the time necessary to complete the remaining tasks is shortened- saving time, money and resources. Through the time to completion alerts within the workflow process, applicants that are in different stages within the orientation workflow process are able to be in the same setting. The orientation moderator is able to provide individualized attention to an applicant as needed regardless of the task. This provides the carrier with the ability to provide orientations based on applicant demands.

     Once arrived, each applicant will be presented with an individualized workflow queue categorized by exceptions, incomplete, pending and signature needed. Through the process workflow dashboard, the orientation moderator knows what the applicant needs to complete prior to being released from orientation. Once the objectives are reviewed between the orientation leader and the new hire, the workflow process begins to monitor the progress of the remaining tasks. If the applicant exceeds the time to completion for a task set by the carrier, the orientation leader receives notification that will alert them to provide the applicant with individual assistance. 

Digital Signatures and Integrated Systems eliminate redundancy.

     As all the pending items are completed, the documents requiring a signature are signed using a digital signature pad. Documents needing to be scanned such as a CDL or a digital photo of the driver are imported into the system. These items along with the data gathered during the recruiting process are then stored in the driver master files of the carriers dispatch and accounting systems for easy access and retrieval. This eliminates the need for reentering data between applications. Ideally, an applicant will be able to complete outstanding tasks while waiting for their drug test results. This process would allow the applicant to become an active driver and on the road in as little as one day.

     The workflow processes lower risks by ensuring every document is completed correctly and that every document needed is on inventory. An audit trial provides evidence that an applicant completed each task within the recruiting process. If an applicant fails a comprehensive survey or exceeds time to completion standards and is released from orientation, the release is supported by quantitative results contained within the audit trail. Should such a release be questioned, the carriers risk is mitigated by having substantiated documentation.
